More for the whole billing cycle

Quotes before the invoice, deposits and credit notes after it, and reports for whoever keeps your books.

  • Quotes that become invoices

Send a quote as a PDF by email. Your client accepts or declines online by typing their name, and you turn an accepted quote into an invoice with one click. It is a simple confirmation, not a legally binding e-signature.

  • Deposits and instalments

Record a deposit or an instalment on an invoice. It shows a Partial label and the balance still due on the PDF, in the email and on the public invoice page, and becomes paid when the payments add up to the total. Online checkout charges the balance that is left, and you can let your client pay it in parts.

  • Late fees, if you charge them

Set a late fee once in your settings: a percentage or a fixed amount, added one time when an invoice is overdue by more than the grace days you choose. It shows as its own line on the invoice, the invoice's own amount is never changed, online checkout includes it, and you can waive it on any invoice.

  • Credit notes

Correct an invoice with a credit note: a returned item, a price adjustment, a billing error. It takes money off what the client owes. Anything beyond the invoice's balance stays as credit you can use on another unpaid invoice of the same client, or record as refunded. Invosend does not move money; you pay refunds yourself.

  • Bring your existing invoices

Import invoices you kept in a spreadsheet (Excel or CSV). You see exactly what will happen before anything is saved, nothing is emailed to your clients, and you can undo an import.

  • A report for your bookkeeper

Export an Excel workbook with a period's invoices and credit notes, tax per rate, receivables by how late they are, and unused client credit. It is an overview for your own books, not a tax filing.

  • Tax IDs on your documents

Add your own tax number and your clients' (NPWP in Indonesia). It prints under the address on invoices and shows in the accounting report.

  • Preview what your client receives

Send a test invoice, with its PDF, to your own email through your own mail account. It is marked as a test, carries no payment links and uses no credit. Available on plans that send from your own email.

  • A link for each client

Give each client one link that lists all their invoices from you, with what they owe and a button to view and pay each one. They need no account. Anyone who has the link can read that invoice list, so send it only to the client; you can replace it, which stops the old one at once, or turn it off.

  • Quotes and credit notes in 12 languages

The PDFs and emails of quotes and credit notes, and the page a client opens for a quote, come in 12 languages, with Arabic laid out right to left.

Sending a quote or a credit note uses 1 credit, like an invoice. Recording payments, importing and reports use none.

Built for how the world pays

Clients in different countries pay in different ways and read different languages. Invosend handles that for you.

  • Your client's language

The payment page speaks your client's language: summary, pay buttons and bank details in 12 languages, picked from their browser.

  • Pay the way your country does

Connect Midtrans, Xendit, Stripe, PayPal, Razorpay or Mollie, plus bank transfer and QR. Invosend suggests the right ones for your country. Online checkout is available on eligible plans.

  • Verify an invoice with a QR

Add a verification QR to your invoices. Scanning it opens the original invoice, so your client can check their copy is genuine. Available on eligible plans.

  • Invoice numbers are never reused

Even if you delete a sent invoice, its number is kept out of circulation, so your records stay clean.

  • Reminders that get firmer

Automatic reminders go out 3, 7 and 14 days after the due date, each one firmer than the last.

Frequently asked questions

What is the life cycle of an invoice in Invosend?

You create an invoice from a template, send it to your client by email as a PDF, then follow its payment status (paid, pending or overdue) from your workspace. For repeat clients you can schedule the same invoice to go out automatically each period.

What are the various ways to create an invoice?

Use the free invoice generator on the website with no account, create invoices inside your Invosend workspace, or generate PDFs from your own systems with the developer API or the embeddable widget.

Do I need an account to try Invosend?

No. The free tools (invoice generator, receipts, tax and due-date calculators) run in your browser without signing up. Create a free account when you want to save clients, track payments and send invoices.

Does Invosend take a fee on my clients' payments?

No. Connect your own bank account or a payment gateway such as Midtrans, Xendit, Stripe or PayPal. Money goes straight to you; Invosend never touches it and never takes a cut. Your bank or gateway may still charge its own processing fees, which go to them.

How do I customize my invoice template?

Choose a template from the library and adjust its accent and text colors to match your brand. Higher plans unlock extras such as an authorized signature and a custom sending domain.

Does Invosend remind my clients to pay?

Yes. When an invoice you have sent passes its due date, Invosend emails your client automatic reminders 3, 7 and 14 days later, each one firmer than the last, and you get a notification each time. They stop once the invoice is paid, work on every plan, and do not use your invoice credits. The reminder wording is fixed and cannot be edited.

Can my clients pay an invoice in instalments?

Yes. When a client pays a deposit or one instalment by bank transfer, you record it on the invoice. The invoice then shows a Partial badge and the balance still due on the PDF, in the email and on the public invoice page, and it turns paid once the payments add up to the total. If you take online payments, the checkout charges the balance that is left, and you can let your client pay it in parts. Recording a payment does not email your client.

Can I send a quote before the invoice?

Yes. Create a quote with line items and send it to your client by email as a PDF. The client can accept or decline online by typing their name on the quote page; this is a simple confirmation, not a legally binding e-signature. Once accepted, you turn the quote into an invoice in one click. Sending a quote uses 1 credit and is available on every plan, including Free. Quote documents can be written in 12 languages.
